How Budwisea works

A hands-on guide to the app. Three tabs, one idea: give every amount a job β€” before you spend it.
✨
What's new in 1.2Sub-items to split one entry into smaller parts (Insurance β†’ health + household + liability), per-entry notes for context you'll want later, drag-to-reorder entries and labels, preset chips for accounts & goals (Savings, Vacation, World trip…), a "Not planned yet" slice in the donut, a toggle to hide entry notes in the list, safer Face ID fallback when biometrics is no longer available, safer backup import with confirmation, quick Website / Privacy / Imprint / Terms links in the About sheet, plus native polish: swipe down to close sheets, softer view transitions, subtle haptics.

1. Get started

The first launch shows a short onboarding. Nothing is sent anywhere β€” every screen writes to your device only.

1

Welcome

A short intro to Budwisea's promise: no cloud, no login, no tracking. Tap Let's go to continue.

2

Your first name

Used only for the greeting at the top left ("Hi, {name}"). Never sent anywhere. You can also skip and set it later under More β†’ Profile.

3

Privacy confirmation

A short reminder that data stays on your device. Tap Got it β€” launch app and you land on the empty Month tab.

πŸ’‘
The empty stateThree numbered steps appear on your first Month view: enter your income, plan fixed costs, set a savings amount. Tap Add first income to begin.

2. The idea behind Budwisea

Budwisea isn't an expense tracker β€” it's a zero-based planner. Every month you decide up front where your income goes. Three categories cover everything:

πŸ’° Income

Everything coming in: salary, side income, bonuses, refunds. The total is your budget to allocate.

🧾 Expenses

Everything you spend: rent, food, transport, subscriptions, electricity. Each entry gets a label (Food, Transport…).

🐷 Saving & Transfers

Money you set aside or move to an account/goal β€” savings, tax reserves, holiday fund.

= Balance

Income βˆ’ Expenses βˆ’ Saving. When it hits zero, every franc has a job. That's the target.

The chip at the top of the Month tab tells you exactly what to do:

ChipMeaning
οΌ‹ X left to planYour income isn't fully allocated yet β€” add an expense or saving entry.
⚠︎ X over budgetYou planned more than comes in β€” cut an expense or add income.
πŸŽ‰ All plannedZero-based done. Balance is exactly 0.

3. The Month tab

The Month tab is where you plan. It always shows one specific month.

Header

At the top you see the greeting, and below it a month bar with β€Ή and β€Ί to jump between months. Tap the month name to open the month picker β€” a year-based grid where you can pick any month or jump to Current month.

Balance card

The big number at the top is your current balance for this month (income βˆ’ expenses βˆ’ saving). Below it, a hint tells you what to do next.

Three sections

Below the balance you see three collapsible sections: Income, Expenses, Saving & Transfers. Each section shows:

  • The section total on the right
  • Your entries for the month
  • A οΌ‹ Add income / expense / transfer row at the bottom
  • A small i button next to the title with a short explanation of what belongs there

Row anatomy

Each entry row shows the label with an emoji, the amount, and small markers:

↻Recurring entry (added to every month automatically)
β†— 🏦 SavingsDeposit tag β€” this saving entry credits the linked account/goal
β†˜ 🏦 SavingsWithdrawal tag β€” this transfer takes from the linked account/goal
β—‹ / βœ“Only on expenses: the paid-toggle circle. Tap to mark an expense as paid (row greys out).
β€Ί 5Sub-items counter β€” tap to expand and see the breakdown inline. Any unassigned rest is shown as Rest.
Note under the nameGrey subtext with the entry's note. Hide globally under More β†’ Show note in list.

Reorder entries

Once a section has more than one entry, a small β‡… button appears next to the section title. Tap it to open the reorder sheet, then drag entries by the ☰ handle into the order you want. The new order applies to the whole series if the entry is recurring, so future months follow suit. The same reorder pattern is available for your labels under More β†’ Manage labels.

Donut chart

Once you have entries, a Where does your money go? donut appears at the bottom, breaking down your expenses and saving by label. Everything after the top 7 slices is bundled as Other. If part of your income isn't planned yet, an additional Not planned yet slice appears in a neutral, dashed colour β€” a visual reminder that there's still money without a job.

4. Adding & editing entries

Tap any οΌ‹ Add … row in a section (or an existing entry to edit it). A sheet slides up from the bottom.

Fields in the entry sheet

β€’

Section

Segmented switch: Income Β· Expenses Β· Saving. You can change the section of an entry after the fact.

β€’

Label

Free text (e.g. Food, Transport, Rent). Chips below the input show existing labels for this section β€” tap one to fill in. Anything new you type is saved to your label list automatically. For Saving & Transfers this field is replaced by an Account / goal picker.

β€’

Amount

The amount in your chosen currency. Decimals are accepted (comma or dot).

β€’

Account / goal (optional)

Only for Income and Expenses: link the entry to one of your accounts/goals. An income entry linked to an account is always a withdrawal from that account (the account funded this month's budget) β€” depositing money belongs in Saving & Transfers. An expense entry linked to an account is deducted from it. Leave None to skip.

β€’

Note (optional)

Free text under the amount. Use it for context you'll want later β€” "contract runs until 03/2027", "budget 700 β€” 42.30 over", "check every quarter which subscriptions I still need". Notes appear as grey subtext under the entry name in the Month list; you can hide them globally via More β†’ Show note in list.

β€’

Sub-items (optional)

Break one amount into smaller parts β€” e.g. an entry Insurance for 428.60 CHF can be split into Health 285.00, Household 62.40, Liability 41.20, Legal 40.00. Tap οΌ‹ Sub-item to add rows, each with name, amount, and its own note. In the list view, an entry with sub-items shows a small chevron button with a count (e.g. β€Ί 4) β€” tap it to expand and see the breakdown inline.

β€’

Recurring (checkbox)

See the next section β€” turns the entry into a monthly template. Notes and sub-items are carried along automatically.

Saving & Transfers specifics

In the Saving section the sheet gets two extras:

  • Transfer target β€” pick an account or goal. Chips let you choose directly, or tap οΌ‹ New to create one on the spot.
  • Deposit οΌ‹ / Withdrawal βˆ’ β€” a segmented switch. Deposits move money into the account; withdrawals take it out.
πŸ˜…
Not enough balanceIf you try to withdraw more than an account holds, a sheet warns you and offers Book anyway or Cancel. Useful when reality gets ahead of the plan.

Saving, deleting, editing

Every sheet has Cancel Β· Delete (only when editing) Β· Save in the bottom bar. Toast confirmations appear at the bottom of the screen.

πŸ‘†
Swipe down to closeEvery sheet has a small grab handle at the top. Swipe down on the top toolbar to dismiss the sheet β€” the same gesture you use for the iOS Control Center.

5. Recurring entries

Fixed costs like rent, subscriptions or a monthly salary shouldn't need re-entry. Tick Recurring (automatically every month) in the entry sheet and the entry becomes a monthly template.

Open-ended

The entry appears in every month from the starting month onward, indefinitely.

Limited

Pick an end month β€” the entry auto-fills only up to that month (e.g. a 12-month subscription).

Recurring entries show a small ↻ marker in the row. When you edit or delete one, the app asks whether you want to change:

  • Only this month β€” the entry is suppressed in this month only; other months keep it.
  • Whole series (from here) β€” the entry is removed from this month and every future month.
πŸ’‘
Insight tipIf you enter the same label with a similar amount three months in a row, the Overview tab suggests turning it into a recurring entry. One tap makes it so.

6. Accounts & goals

An account is a bucket that simply collects a balance. A goal is an account with a target amount β€” you see progress and a forecast.

Creating one

Two ways:

  • From the entry sheet: tap οΌ‹ New in the Account / goal chips.
  • From More β†’ Manage accounts & goals β†’ οΌ‹ New.

Suggestions

When you create a new account or goal you'll see a Suggestions row above the emoji picker with common presets β€” filtered by the type you picked:

Accounts

🐷 Savings account Β· 🏦 Salary account Β· 🀝 Joint account Β· πŸ’΅ Cash Β· 🧾 Tax account

Goals

πŸ–οΈ Vacation Β· πŸš— New car Β· 🌍 World trip Β· 🏠 Own home Β· πŸ›Ÿ Emergency fund Β· πŸ’ Wedding Β· πŸŽ“ Education Β· πŸ’» New tech Β· 🎁 Gifts

Tap a chip to fill in the name and emoji in one go. Suggestions also appear directly in the empty state of Manage accounts & goals β€” a single tap adds the preset as a real entry.

Fields

β€’

Type

Account or Goal. You can switch later.

β€’

Emoji & Name

Pick from the emoji grid; type a name like Savings, Holiday, Tax reserve.

β€’

Current balance (opening amount, optional)

What's already on the account. Counts toward your wealth on the Overview tab, but does not affect any monthly budget.

β€’

Savings goal (for Goals only)

The target amount. Adds a progress bar and β€” optionally β€” a Target date to show whether you're on track.

β€’

Simulation slider

Drag Simulation: save per month to see how long it would take to reach the goal at that pace β€” the result updates live.

How the balance moves

Balances change whenever an entry is linked to an account/goal:

  • An Income entry linked to an account credits it.
  • An Expense entry linked to an account debits it.
  • A Saving deposit credits it; a Saving withdrawal debits it.
  • The opening amount is a one-time credit that always shows first in the transaction list.

Opening an account

Tap an account or goal anywhere it appears (Overview tab, entry sheet, manage list) to open its detail sheet. You see the current balance, total paid in, total withdrawn, and a chronological transaction list β€” tap any transaction to jump to it in its month.

7. The Overview tab

The Overview tab is your bird's-eye view across all months. It rebuilds itself each time you visit β€” no configuration needed.

Wealth card

The big number at the top is the total balance across all accounts and goals (opening balances + all linked transactions). Below it, a forecast projects your wealth 12 months out based on your average saving rate.

  • If you save regularly: "At your saving rate of X/month you'll have about Y in 12 months."
  • If your accounts are shrinking: a warning appears instead.
  • A πŸ”₯ N months in a row streak badge shows if you've filled out entries every month.
  • A Next milestone bar tracks progress toward the next round wealth number (1k, 5k, 10k, 25k…).

Compared to last month

A small card with three rows β€” Income, Expenses, Saving β€” each showing the change vs. the previous month with a coloured β–² / β–Ό arrow.

Warning bar

Above the dashboard, a single-line status of your most recent filled month: green (all planned), blue (still to plan), red (over budget).

Dashboard by label

A bar chart broken down by label. Two segmented switches control it:

  • Income Β· Expenses Β· Saving β€” which category to show.
  • Last month Β· Ø per month β€” one specific month, or the average across all recorded months.

Goals & Accounts

All your goals with progress bars and status pills (on track, +X/mo needed, reached πŸŽ‰, ~N mo left). Below, a plain list of accounts with running balances.

Stats & Months

Two small tiles: Ø saving rate / month and Months recorded. Then a Months list of every month you've touched β€” tap one to jump straight to it.

Insights

Small dismissable hint cards appear at the top when there's something worth surfacing β€” e.g. "You saved X this month", "Your wealth grew by X since last month", "Only X to Holiday β€” almost there!". Once dismissed they don't come back.

Year in review

In January (or when you open the Overview tab and there's a completed previous year to look at), a Year in review card appears with totals for the past year β€” saved, spent, months tracked, goals reached, biggest category.

8. The More tab

The More tab is where everything else lives β€” profile, appearance, data, backup.

Profile group

β€’

Profile

Set or change your first name (used only for the greeting).

β€’

Require Face ID

Toggle on/off. When On, the app locks after backgrounding and asks for Face ID (Touch ID / device passcode as fallback) on relaunch. If the device doesn't support it, the row shows Not available on this device.

β€’

About Budwisea

Opens the privacy promise sheet: no cloud, all local, no trackers, one-time purchase, Face ID. At the bottom you'll find quick links to the Website, Privacy, Imprint and Terms β€” they open in your system browser.

Preferences group

β€’

Currency

Pick from CHF, EUR, USD, GBP, JPY, CAD, AUD, CNY, HKD, SGD. This changes the display symbol only β€” existing numbers are not converted.

β€’

Appearance

Automatic (follows system), Light, or Dark.

β€’

Show note in list

Toggle whether entry notes appear as grey subtext under the entry name in the Month list. Off keeps the list compact β€” you'll still see and edit notes when you open the entry. Default: on.

Language is picked automatically from your device (German, English, French, Italian, Dutch, Spanish). Standard labels like Rent or Salary follow the language switch; any label you renamed yourself stays as you wrote it.

Data group

β€’

Manage labels

Add, rename, change the emoji, or delete a label. Each label belongs to one section (Income / Expenses / Saving). A small β‡… next to each section title opens the reorder sheet β€” drag labels by the ☰ handle into the order you want. The order is used everywhere labels appear (entry sheet chips, dashboards).

β€’

Manage accounts & goals

Same as tapping οΌ‹ New from an entry sheet, plus edit/delete of existing ones. Deleting removes the assignment from any linked entries (the entries themselves stay).

β€’

Guide

Opens this page in your browser β€” a full walkthrough of the app.

Backup group

β€’

Export backup (.json)

Opens the system share sheet with a JSON file containing everything: months, entries, recurring templates, accounts, goals, labels, profile. Save it to Files, iCloud Drive, Mail, AirDrop β€” whatever you like.

β€’

Import backup

Pick a previously exported .json file. The file is validated (structure, size, format) before anything happens, and if you already have data on the device a confirm dialog appears β€” no risk of accidentally wiping months of work. Your profile settings (name, Face ID, theme) are kept even if the imported file is older.

Danger zone

πŸ—‘οΈ
Delete all dataWipes all months, entries, recurring templates, accounts and goals. Profile and preferences stay. A confirm dialog appears first β€” but there's no undo. Make a backup first if you might want the data back.

At the bottom you'll find Contact & support β€” the email address to reach us β€” and the app version.

9. FAQ

Where is my data stored?

Only on your device. Budwisea has no server, no cloud, no account. The only way data leaves your device is if you export a backup and put it somewhere yourself.

How do I move to a new phone?

On the old device: More β†’ Export backup, save the JSON somewhere you can reach (iCloud Drive, email, AirDrop). On the new device: install Budwisea, complete onboarding, then More β†’ Import backup and pick the file.

Does it sync across devices?

No automatic sync. Each device is independent. Export/import is the manual way β€” it also serves as your backup.

What happens to a recurring entry if I skip a month?

Recurring entries auto-fill each month you open. If you delete one for a single month, only that month is suppressed β€” the series continues. If you delete "whole series (from here)", the current and all future months lose it, but past months keep it.

Opening balance vs. income β€” what's the difference?

Opening balance on an account is what's already there when you create the account. It never counts as income for any month β€” it just seeds the account's wealth. Income is money that arrives during a specific month and belongs to that month's budget.

What does the βœ“ paid toggle do?

Only for Expenses. Tapping it marks the row as paid (row greys out). It's purely a visual reminder β€” the amount still counts toward your budget either way. Handy for tracking which bills you've actually settled during the month.

I want to change languages / currency without losing my data.

Both are safe. Currency only changes the displayed symbol (numbers stay the same). Language changes the app UI and only re-labels the built-in default labels (like Salary, Rent) β€” any label you renamed yourself is left untouched.

Face ID won't unlock the app.

The app uses the OS biometric prompt directly, so it succeeds only if Face ID is enabled at the device level too. Fallbacks: enter your device passcode from the Face ID prompt, or use the manual Unlock button on the lock screen.

I reset my Face ID / got a new device without it β€” I'm locked out.

The lock screen detects when biometrics is no longer set up on the device. Instead of leaving you stranded, it switches to a Biometrics no longer available screen with a single Remove lock button. Tap it to disable the lock and get straight in β€” your data is fine. You can re-enable Face ID any time under More β†’ Require Face ID once biometrics is set up again.
